A demo can make any property system look effortless. The real test is whether your receptionist, owner and bookkeeper can use it during a busy day without creating a second system in WhatsApp and Excel.

The 12 questions

  1. Is it built for my property size? A 10-room B&B does not need every enterprise-hotel workflow.
  2. How long does setup take? Ask who creates rooms, rates, users and opening balances.
  3. Does it sync channels or only record sources? These are different promises.
  4. Can it handle EFT, cash, card and OTA payments?
  5. Can one booking show deposit, refunds and balance?
  6. Does it capture the South African guest register?
  7. How are VAT invoices, receipts and extras handled?
  8. Can staff have separate roles and logins?
  9. Does it work well on a phone browser?
  10. Can I export my bookings, guests and payments?
  11. What support is included and in which time zone?
  12. What is the full monthly cost? Include room tiers, setup, payment fees, add-ons and commissions.

Bring real scenarios to the demo

Ask the vendor to create a two-room family booking, record a partial EFT deposit, move one guest, add breakfast, issue an invoice, process a cancellation and export the record. A rehearsed dashboard tour will not reveal whether the daily workflow fits.

When a spreadsheet is still enough

If one owner manages a few units, receives few bookings and can reliably control access, a structured spreadsheet may be adequate. Software becomes valuable when people overwrite each other, balances are missed, booking history is scattered, invoices are recreated or the owner cannot see the day away from reception.

Score fit before features

Create a shortlist and give each system a score for daily workflow, local payment methods, guest records, reporting, setup, support, data export and full price. Weight the categories: if deposits cause the most losses, payment tracking should matter more than a beautiful marketing dashboard.

Use the trial properly

Set up real rooms and enter a week of bookings. Ask two staff members to complete a check-in and invoice without coaching. Export the data and cancel a test booking. A trial filled with sample data only tests the vendor's demo, not your operation.
